SafetyGrid Truck Inspection Program
Every truck checked before it moves. Every check on record.
An Equipment Tag on every truck, an Inspection Board where your trucks park, and an Inspection Log you can pull any time. Operators check a truck from their phone in about a minute. A failed check takes the truck out of service and tells the people who fix it.
Forklifts have to be examined before they are put in service, at least once a day. On most floors that check lives on a paper sheet clipped to the truck or stacked in an office.
Paper fades, tears and gets lost. Nobody can tell which trucks were skipped today, and when an auditor, insurer or investigator asks for last March, someone goes looking through a box.
A stack of paper checklists is not a record. It is a box nobody can search.
One program, three parts
Everything is printed, set up and run by SafetyGrid. Your team scans and checks. We keep the system working.
Equipment Tags
A durable QR tag on each truck, printed with its truck number, at eye level from the seat. The truck number rides inside the code, so nobody types it. Built to hold up to oil, heat and washing.
CHECK?Hang a Do Not Operate tag from this pocket on the truck and tell your supervisor.
Inspection Board
An 18 x 24 board where your trucks park: the four steps, a backup code for every truck on site, and a pocket for out of service tags. A missing tag never stops a check.
Inspection Log
Every check, pass or fail, by truck, operator, date and time. Searchable, exportable, and yours. Trucks not checked today are flagged, so a skipped truck is seen the same morning.
Sample tag, board and log. Yours carry your truck numbers and your site.
How a check works
Four steps at the truck. No app to download, no account to create.
Scan the truck
Point the phone camera at the Equipment Tag. The form already knows which truck it is.
Pick your name from the site roster and enter your 4 digit code. Only trained operators on the roster can submit.
Answer the checklist
Motor off, then motor on: leaks, tires, forks, brakes, steering, horn and more. Pass, Fail or Not applicable.
Pass or stop
A pass is logged and the operator goes to work. A failed safety item stops the truck and alerts maintenance.
The Inspection Board where your trucks park
One board per parking or charging area. Built to look like part of the truck's safety equipment, and to match the SafetyGrid Ordering board if you run both.
CHECK?Hang a Do Not Operate tag from this pocket on the truck and tell your supervisor.
Sample board. Yours shows your trucks, your site and your station number.
- Four steps on the wall. The whole check in plain words, so a new operator knows what to do on day one.
- A backup code for every truck. If a tag is damaged or missing, the operator scans that truck's code on the board instead. Color bands mark sit down, reach, order picker and pallet jack.
- Out of service tags in the pocket. A Do Not Operate tag is right there when a check fails.
- Signal tested at install. The board goes where phones connect, so freezers and steel buildings do not break the routine.
- Phones not allowed on your floor? We supply a shared rugged tablet in a locking mount at the board.
The truck stops. The right people know.
A defective truck has to come out of service until it is repaired. The program makes that the default instead of a judgment call on the floor.
- Photo on every failThe operator photographs the problem, so maintenance sees it before they walk over.
- Alerts to maintenance and the supervisorThe people you name at setup are told right away which truck failed and why.
- Return to service by an authorized personThe truck stays flagged until someone you authorize marks it repaired. Hours out of service are tracked.
- You choose what stops a truckDuring setup you decide which items stop the truck and which only report. We start from OSHA's sample daily checklists.
A weekly report your team can act on
Every week your site gets one report from the Inspection Log, with the problems first.
Sign in the way your site already works
Every check is tied to a named, trained operator. Pick the sign in that fits your floor.
Phone and code
Scan the truck with any phone, pick your name, enter a 4 digit code. Nothing extra to buy.
Barcode badge
Already have badges with a barcode or QR? Operators scan the badge, then the truck, at a tablet on the board.
Tap badge
Tap only badges work through a reader at the board. We only read the badge number and never connect to your door or security system.
Tablet and badge reader Scan Kits are bought, set up and tested by SafetyGrid with one of your own badges before we quote, then shipped ready to mount.
How we set up your site
The same steps at every site, usually finished in one visit.
What it costs, next to what it protects
Daily checks on record cost far less than the things they help you avoid, and far less than adding telematics to every truck.

Simple pricing
Priced by the number of trucks on site. No hardware required and no logins to buy.

Your setup fee is credited toward a SafetyGrid Ordering System or your first Incident Desk report within 90 days. Scan Kits and extra tags are quoted separately.
Same tags, more equipment
Once the program is on your site, the same tag, scan and log can cover other checks your team already owes.
Your records stay yours
OSHA requires the daily truck exam but does not require it to be written down, and leaves how long to keep inspection records to the employer. A record you can find is how you show the checks happened, so we keep it two ways.
