The SafetyGrid Ordering System

The SafetyGrid Ordering System

Your crews order. Your supervisors get back to work.

An ordering station on the wall of every site, and a pickup station beside it. Your approved items at your agreed pricing, within the limits you set, shipped direct to the site that ordered it, and a regular report showing what each site actually used.

On a lot of sites, someone on the payroll has become a part time stock clerk. A foreman counting gloves. A supervisor emailing three vendors for quotes. A safety manager reconciling four invoices against no usage data at all.

Those people were hired to run work, not to run a supply room. The SafetyGrid Ordering System takes that job off them.

If a site ordered no gloves in six weeks, that is not a saving. That is a question.

How it works

Six steps, from first conversation to the gear in your crew’s hands.

1

We build your list with you

From your supply needs and the regulations your sites work under, with the limits you want per person. You approve it, and nothing goes on it you did not agree to.

2

We set up your station

Your ordering page, your company code, an ordering board and a SafetyGrid Pickup Station for each site.

3

Your crews scan and order

Phone camera, no app, no account. At your rates, shipped direct to the site that ordered it.

4

We check every order

Against your approved list and the limits you set.

5

Pick up at the station

Orders arrive at your site’s SafetyGrid Pickup Station, ready to collect.

6

You get the picture back

A usage report by site, scheduled restocks, and a real person who knows your account.

The ordering station on your wall

One board by the time clock, one in the break room, one at the supply room door. Built to look like part of your site's safety program, because it is.

Sample board. Yours carries your name, your code and your policy.

  • One code, one action. Crews scan with the phone already in their pocket. Nothing to download, no account to create, about a minute from scan to order.
  • A safety tip that changes. A replaceable strip carries a new safety tip every other week, 26 across the year. The weeks between are yours for site messages, so the board stays tended instead of fading into the wall.
  • What is in your kit. Three ordering boards, two SafetyGrid Pickup Station boxes with their signs, and 26 safety tip stickers picked for your industry, plus flyers for break rooms, workstations and truck cabs.
  • Made for job sites. The code is printed large with high error correction, so it still scans with normal wear.
Budget control

You set the limits. We hold every order to them.

Decide how much each person can order, item by item, every month. Your budget stays on track without a supervisor policing the supply room.

  • Limits in your wordsTwo vests a month, one pair of glasses a quarter, whatever fits your site. Your rule is printed on the board, so the answer to "how many can I order?" is on the wall.
  • Every order reviewed before it is placedWe check each order against your approved list and limits before it goes to the supplier. Anything over waits for your supervisor’s OK.
  • Seen in your reportYour usage report shows who is close to a limit and which sites go over, so a pattern is a conversation, not a surprise.

The pickup station beside it

Every site gets a SafetyGrid Pickup Station, one known spot where crews collect what they ordered.

Sample sign. Each station is numbered to its site.

  • Two station boxes in every kit. Each comes with its sign. Place one by receiving and one beside the board, or wherever your deliveries land.
  • Shipped straight to your site. Every order ships directly to the site that placed it. Receiving puts it in the station box, where crews collect it.
  • Higher value items go to the supervisor. Harnesses, respirators and similar gear are handed over in person, not left in the box.
  • Board and pickup, one system. Scan at the board, collect at the station, and every order shows up in your usage report.

A report your team can act on

Every period you get one report showing what your sites used. It reconciles against your invoice, and it tells you something an invoice never will.

Worth a lookSites that have stopped ordering something they normally reorder. Maybe fine. Maybe worth a question. Always shown first.
Consumption by siteOrders, items and spend for every location, side by side.
Consumption by categoryPPE, lockout/tagout, signage, environmental, first aid and apparel, with each one's share of spend.
Month on monthThe trend, so a spike or a drop is visible before it becomes a problem.
Ordering by codeWhich supervisor codes ordered what, for invoice reconciliation.
Most used itemsWhat your crews actually go through, by part number.

You decide who orders

Set once when your account opens. Every option shows up in your usage report.

Most control

Leadership code

One code held by your leadership team. They order on behalf of their associates, and nobody else needs access.

Balanced

Manager level

A code per department manager or supervisor. Orders are overseen closest to the work, and spend is attributable by department.

Most engagement

Individual

Every associate orders their own, within the item list and the limits you approved. The most data, and the gear people pick for themselves is the gear they wear.

Multi site

A code for every site

Running ten, twenty or more sites? Each site gets its own code, so spend, usage and your item list are tracked site by site, and your report compares them side by side. Smaller operations can hold several codes per site instead, by department or crew. We set it up the way your business actually runs.

Two ways to run it

Start simple. Move up when you want more control.

Start here

Company Code

We issue your company an ordering code. Your associates shop safetygridhq.com, enter the code at checkout, and it ships to them or to the site. Nothing to set up, nothing to maintain, and your company never handles the transaction. Works across every product line, and for packets too.

More control

Private Company Store

A store in your company's name holding only the items you approved, at your agreed pricing, behind a login limited to your people. You pick the catalog, we build and load it, and you distribute the logins.

Why it works

The approval cycle is the hidden cost of safety supply. Approve the catalog once and it comes off every reorder after it.

One partner, not sixPPE, lockout/tagout, signage, environmental, scrubs and branded apparel on one account and one invoice.
Only what you approvedA glove below your cut rating cannot be ordered, because it is not on your list.
Pricing applied automaticallyNegotiated once, applied on every order, never re-quoted.
Private to your organizationYour pricing is never published and your ordering activity stays yours.
Restocked on a scheduleWe check what is running low so crews are not left short, with a record for your safety program.
Gear people actually wearAn associate who picks their own correctly sized boots is more likely to wear them. That matters for safety, not just convenience.

Partner Program tiers

There is no membership fee. Your tier is set by what your company buys over twelve months, or by what you commit to buying, whichever is higher. A one-time setup fee covers your kit and is credited back on your first orders. It is waived on Managed and Partner accounts.

New hire and department packets

Running a new hire class? We build a packet for each department from your approved list, and give it its own ordering link. New hires order their PPE from that link during orientation, as one item, and receive everything. Overnight shipping can be set on new hire orders if your company wants it.

Ready made

Packets built with you

Tell us what each department needs and we build and load the packets. A welder, a laborer and a warehouse associate each get the right gear, not a generic box.

Your list

Send us your department lists

Already have a new hire list by department? Send it over and we turn it into packets on your ordering page, at your pricing.

Recurring hiring events and orientation days can go on your board and your ordering page as their own ordering date, so every new class knows exactly where to order.
